Tacie is a macOS app that finds answers to questions raised during meetings. It is operated by bearjb, an individual developer ("we").
Most of what Tacie works with stays on your Mac. Meeting audio, transcripts, meeting notes, remembered participants, and the content Tacie fetches from your connected services, along with its search index, are never stored on our servers.
Our servers store only your account details and AI usage records. When Tacie answers a question, it sends only what is needed to an AI provider. Our server forwards that content without storing it.
| Data | Purpose | Retention |
|---|---|---|
| Name, email, profile picture, sign-in account ID (Google, GitHub, Apple) | Identifying you, sign-in | Until you delete your account |
| Sign-in session | Keeping you signed in | Expires after 90 days unused; deleted with your account |
| AI usage records (time, type, model, cost) | Monthly usage limits | Until you delete your account |
| Server request log (path, status, duration) | Troubleshooting | 30 days |
We never receive your password. When you sign in with GitHub, we revoke the GitHub token right after reading your name and email.
| Data | Purpose |
|---|---|
| Transcripts, meeting notes (title, summary, questions and answers), meeting recordings (if turned on in Settings) | Answering during meetings, meeting summaries, playback |
| Remembered participants (names, voice features) | Recognizing speakers in later meetings |
| Content from connected services and its search index | Finding material that answers a question |
| Connection tokens | Fetching content from connected services; kept in the macOS Keychain |
This data stays on your Mac until you delete it. We cannot receive or view it. You can turn off "Remember participants" or delete all remembered participants in Settings → Privacy.
You are responsible for telling meeting participants that Tacie is listening. Settings → Privacy has a notice you can use.
The app and our website (tacie.app) send PostHog counts and durations of feature use, plus device model, OS version, app version, language, and time zone. We use this to improve the app. When you are signed in, events are linked to a separate ID derived from your account, not to the account itself.
We do not send meeting audio, transcripts, questions or answers, names or contents of your files, your name, or your email. PostHog does not store IP addresses. Settings → Privacy shows what is sent. Analytics data is kept for 1 year.
To answer questions and summarize meetings, Tacie sends the following to AI providers. All of it passes through our server (AWS Seoul), which forwards it without storing or logging the content.
| When | What |
|---|---|
| During a meeting | Speech audio (per utterance) and its transcript |
| When looking up an answer | The question, recent conversation, and the passages closest to the question |
| When a meeting ends | The full meeting transcript; not sent if "Meeting notes" is off in Settings → Privacy |
The providers and their retention and training terms are listed in section 6. None of them retain this content or use it to train AI models.
Tacie fetches content only from services you connect. Your Mac fetches it directly from each service; it does not pass through our servers. Tacie never writes to or changes anything in these services.
| Service | What Tacie fetches |
|---|---|
| GitHub | Code, documents, issues, and pull requests from repositories you choose |
| Notion | Pages you allow Tacie to access when connecting |
| Linear | Issues, comments, project updates, and documents changed in the last 2 years, from teams you can see |
| Google Drive | Google Docs, Sheets, and Slides changed in the last 2 years, from My Drive and shared drives you belong to |
Our server is involved only in the Notion and Linear sign-in steps. It holds the Notion connection token or the Linear sign-in code for at most 5 minutes until the app picks it up, then deletes it. When the Notion connection is renewed, the token is not kept on our server either.
When answering, Tacie does not send content from teams or shared drives you have turned off in Settings. Disconnecting a service in Tacie deletes the content fetched from it; for Linear and Google Drive, Tacie also revokes its access with the service. If a connection ends outside Tacie (for example, you remove access in the service), Tacie stops searching that content after 7 days.
When you connect Google Drive, Tacie requests read-only access to your Drive (drive.readonly).
Tacie's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We use the following providers to run Tacie. Transfers happen over encrypted connections each time you use the relevant feature.
| Provider (contact) | Role | Data | Country | Retention and training |
|---|---|---|---|---|
| Amazon Web Services | Servers; account and usage storage | Server data in section 2 | South Korea (Seoul) | As in section 2 |
| OpenRouter, Inc. (privacy@openrouter.ai) | Routing AI requests | Content in section 3 | United States | Does not store request content or train on it. Configured to route only to providers that retain no content |
| Eleven Labs Inc. (dpo@elevenlabs.io), via OpenRouter | Transcription | Speech audio | United States | Sent only over zero-data-retention routes |
| Amazon Web Services, Inc. (https://pages.awscloud.com/DSAR_RTF.html) or Google LLC (https://support.google.com/policies/contact/general_privacy_form), via OpenRouter | Writing answers and meeting notes (runs Anthropic's Claude model) | Questions, passages, transcripts | United States | No retention, no training |
| TypeSafe AI, Inc. (privacy@typesafe.ai) | Deciding whether a question was asked, ranking passages | Transcripts, passages | United States | No training. Retention period not published |
| PostHog, Inc. (privacy@posthog.com) | Usage analytics | Data in "Usage analytics" | United States | 1 year |
Where a provider keeps content to check for legal or usage-policy violations, that provider's own policy applies.
If you do not want your information transferred abroad, stop using Tacie and delete your account. Without these transfers, AI answers and meeting notes are not available.
Payments are processed and recorded by Paddle as the merchant of record. We do not receive or store card or other payment details.
We do not sell personal information, and we do not share it with third parties except when required by law.
Deleting your account in Settings → Account immediately deletes your account details, sessions, and AI usage records from our servers. Deleted records remain in server backups for up to 35 days, then are removed automatically. Analytics data stays under an ID not directly linked to your account and is removed after 1 year.
Deleting your account does not delete meeting records or content on your Mac. You can delete those in the app, or remove them along with the app.
You can ask to access, correct, or delete your personal information, or to stop its processing, at any time. You can delete your account directly in Settings → Account. For anything else, contact us at the address below.
The app and tacie.app do not use cookies. auth.tacie.app sets a sign-in cookie only on the operator's admin page.
